“Staffing agency” covers a wider range of models than most companies realize, and picking the wrong type for your hiring need is a common source of frustration — slow fills from a generalist agency on a niche role, or overpaying an executive search firm for a mid-level hire.
General staffing agencies
Source broadly across roles and industries — administrative, light industrial, customer service, general office roles. Strength is breadth and speed for common role types; weakness is depth on specialized or technical positions.
Best for: High-volume, less specialized roles where broad candidate pools matter more than deep domain screening.
Niche / specialized staffing agencies
Focus on a specific industry or skill set — IT, healthcare, fintech, engineering. They maintain deeper candidate networks and screening expertise within that vertical, at the tradeoff of narrower scope.

Temp / staffing agencies (contract-focused)
Specialize in short-term, project-based, or seasonal placements, often handling payroll and employment logistics for the contractor directly.
Best for: Project-based work, coverage for leave or seasonal demand, or testing a role before committing to permanent headcount.
Direct-hire / permanent placement agencies
Focus exclusively on permanent roles, typically charging a one-time placement fee (15–25% of first-year salary) rather than an ongoing bill rate.
Best for: Roles you’re confident are permanent, where you want a candidate on your payroll from day one.
Executive search firms (“headhunters”)
Specialize in senior leadership and executive roles, often working retained (paid upfront, regardless of outcome) rather than contingent (paid only on placement). Deep networks, high-touch process, higher fees.
Best for: VP-level and above, or highly specialized senior roles where confidentiality and network reach matter more than speed or cost.
RPO (Recruitment Process Outsourcing) providers

Best for: Companies with consistent, high-volume hiring needs who want ongoing recruiting infrastructure without building it internally.
Staffing marketplaces / platforms
Tech-enabled platforms connecting companies directly to freelancers or contractors, often with less hands-on screening than a traditional agency.
Best for: Short-term or project-based freelance work where you’re comfortable doing more of the vetting yourself.
How to pick the right type
Start with three questions: Is this role permanent or temporary? Is it specialized enough that domain screening matters? And is your hiring volume a one-off or ongoing? The answers usually point clearly toward one of these models — most hiring mistakes here come from defaulting to whichever agency someone already had a contact at, rather than matching the model to the actual need.
